Badger Bimmer's Board Meeting Minutes April 9, 1999 LaBoulongerie
The meeting was called to order by Darcy Yench in Mustafa's absence at 7:14 p.m.
Attendance: Darcy Yench (VP), Clarence Behrend (editor), Mike Dains (member), Matt Buckau (member), Dave Herr (member), John Morgan (Speed Events Chairman), Pat Clemens, Mike Clemens, Scott Culbertson, Dave Culbertson, Brad Radcliffe, Greg Smith, Deborah Buckau, Pete Klinger
Minutes were distributed & reviewed: Mike Dains moved to approve. Matt Buckau seconded. Motion carried.
Treasurer's report: no report
Membership: Badger Bimmers currently has 615 members. We are the 21st largest chapter. We had 9 new members in March and 15 new members in April. Deborah Buckau has agreed to call the new members to welcome them.
Old Business: The rally is officially scheduled for Saturday, June 12th. It will be a fun rally with two divisions: novice and experienced. Pete Klinger will have a budget prepared for next meeting. The price will be $20. per car for driver and navigator. Each additional participant will be $5.00. The staring place will be at Mini?s restaurant in Glendale, WI on N. Green Bay Ave. Start time will be around 10 am. The finish will be some where in Jefferson County with refreshments and snacks and of course, trophies.
Brad & Clarence are continuing to work on the concourse and car show. Several entries have been received in the PO Box and Brad has also received some. Rainbow Hospice has arranged for spots to be aired on a closed access cable channel. Radio ads with Clarence's voice are also in the works. Still looking for vendors. Several vendors are already on board some of these are Trek, Greer Enterprises, I - ? Helicopter, & others I - ? Helicopter has donated a 1 hour flight for a door prize or raffle. Carl ? Herb Weustoff, Sr. Trophy discussion. Want to use car emblems from dealership for car area designations at the concourse. Milwaukee Porsche Club has placed an ad in their publication for the concourse.
A motion was made to send out reminder post card about two weeks prior to the event to club members. Matt Buckau seconded. Motion carried. Clarence will handle the mailing.
Clarence has maps of the fair grounds. The show is open to any and all German cars wanting to enter. PR packets are being prepared in conjunction with the Rainbow Hospice. They got a list of media places to send to. Scott Zellner took a flyer to a Porsche club meeting near Madison and got some interest expressed from their members. The Rainbow Hospice board is getting more involved with securing door prizes. Brad shared the art work that will be on the T-shirts. About 200 will be printed. more are needed, the shop doing the work is in town and is prepared to print more up. Also expecting a big number of BMW motorcycles with a staff photographer.
Web Site: Greg Smith, a new member, has offered to snaz up the web site at no charge. He will be willing to do the structure of design & format. Others will still have to submit information and photos. He figures to work on the project 4-6 hr. per month. Want direction for what to include in the format. Suggestions were specific club information, calendar of events, classifieds, and sponsors. He can be e-mailed at gasmith@execpc.com . Pat Clemens has also expressed an interest in working on the web site and will be talking to Erik and Greg in the future about specific plans.
Logo Contest: Clarence will run another writing of the logo contest for the May Immer.
2002 Octoberfest: Have learned that Colorado region has submitted a very nice proposal for 2002. We will not be trying for this as a result. Several ideas were discussed and the most enthusiastic was the idea of having it centered around Elkhart Lake area for the 50th anniversary of the track in 2005.Brad will be investigating the actual 50th anniversary and report back.It was decided to bring back ideas to the next meeting and hopefully have some more information to form a committee and start to write a proposal for the 50th anniversary year whenever that actually is.
Poker Run: Matt & Deborah Buckau are continuing to work on the idea. Deborah was looking into some sort of card holder to use when the participants get their cards. The state will be divided into 5 sections with each section having 2 locations to obtain the cards. There will be specially printed up decks of cards for each year we decide to do this. A proposal will be submitted at the next meeting. The card hands will be turned in at the annual meeting and the winning hand will have a special prize.
MGA: Mike Dains reported the event is about half full.
August & October Driver's Schools: Applications will be ready to go into the May Immer for both events.
New Business: Sponsorship of IM Racing was discussed and was given enthusiastic response by board members present as well as other guests in attendance. Mike Dains asked that IM Racing prepare a proposal to present at the next board meeting when (hopefully the FULL) board will be able to look at the matter and make a decision. There were some wonderful ideas about using merchandising profits to help the cause. Buy a T-shirt, honorary crew member for $50. and get a couple of laps around the track. There will be made available 5 crew passes for the events at local tracks for vintage, SCCA and BMW Club racing to interested club members. John & Erik will bring there proposal to the board in May.
Advertising/IMMER: Discussion about what is being done to secure some advertising in the IMMER was brought up. Clarence will be in contact with Steve Werner to see what?s up with that.
Rebate/member Discussion: The whole rebate program and how points were awarded was discussed. This year we qualified for $.50 per member. We can get $1.00 per member if we are willing to be more active. Dave Herr volunteered to head the committee to work on adding some more activities to the calendar for this year in months we are not currently planning anything. Brad Radcliff will also help. They will also work on the entire 2000 year calendar to be published in the January 2000 issue of the IMMER. Part of the points comes from publications published that are 6+ pages. We discussed the need to have monthly IMMER's especially in the summer months when we have so much going on. Clarence agreed to add a few issues to the current bi-monthly schedule.
Merchandising products: Enthusiasm was voiced for putting together some items to sell once we get the official chapter logo.
New Members: Decided to publish all new members with their city in the Immer.
Mike Dains moved to adjourn the meeting. Matt Buckau seconded. All were in agreement at 9:08 pm
